Safety Data Sheet Binders and Online Systems Compliance
Make Sure Your Hard Copy and Online Systems Work Together
A simple investment in some yellow binders can save lives and keep you compliant.
While the HCS 2012 (Hazard Communication Standard) explicitly permits web based compliance or electronic SDSs, they must be completely free of barriers and readily available to all employees.
For electronic SDSs to be compliant the following must take place:

Employees must have free access to electronic sheets ( no need to ask permission, system must be readily available, system must be powered...)

Workers must be trained in the specific software and have password if appropriate.

There must be a redundant system in case of electric failure, internet failure, intranet failure, etc.

The electronic sheets are part of the governing hazard communication program

Hard copies must be immediately available if desired or required.
If the sheets are not readily accessible for any reason, the work place is considered to be in severe violation during an OSHA inspection.
In short, it costs very little to add that extra layer of protection in the yellow binder at all relevant work spaces. Why risk a fine up to $12,000 when you could pay less than $20 for the binder???
